I-GTM Parent, Guardian, and Student Booking Terms

These Terms apply to parents, guardians, students, and other individuals booking travel services through the I-GTM platform. They should be read together with the I-GTM General Terms and Conditions.

1. Booking Process

  • All bookings must be made via the I-GTM platform.
  • Access is granted through the email address registered with the school.
  • Bookings made outside of I-GTM are not valid.

Authorisation

  • Parents/Guardians: Bookings must be confirmed via the authorisation email sent to the registered address.
  • Students: If booking their own travel, the nominated parent/guardian must authorise the booking.
  • No taxi will be dispatched until authorisation is complete.

2. Responsibilities of the Booker

  • You must provide accurate information (flight details, times, mobile number, etc.).
  • You are responsible for informing the student of booking details.
  • Students must be ready at the agreed collection time and location.

3. Mobile Phone Requirements

  • A valid mobile number for the student must be provided at the time of booking.
  • The phone must be switched on, charged, and able to make/receive calls at the collection time.
  • Failure to provide a working number may result in delays or missed connections and additional charges.

4. Airport Collection

Students must:

  • Keep their mobile phone switched on and charged.
  • Follow the meeting protocol: proceed to the designated meeting point, or look for a driver with a name board in the arrivals hall.

5. Cancellations

  • Cancellations within 24 hours of dispatch may be charged up to 100% of the fare.
  • API-integrated suppliers: often cancellable up to dispatch.
  • Other suppliers: typically require 24–48 hours’ notice.
  • Any supplier cancellation charges will be passed on in full.

6. Fees

In addition to the fare, I-GTM charges:

  • Platform Fee: £1.50 for the first £10; 10% of the next £20; 5% above £30; max £8.10 per booking.
  • Ride Share Fee: 20% of the savings per passenger (if opted in).
  • Oversight & Resolution Fee (if required by the school): 5% of fare (min £1, max £10).
  • Unaccompanied Minor Services: £25 admin fee (taxi company service) or £90 flat fee (Airport Guardians).
  • Intervention Fee: £5 per instance where I-GTM staff must intervene to correct/manage a booking.

All fees are subject to VAT.

7. Passenger Conduct

  • Students must follow driver instructions and school rules.
  • Seat belts must be worn where fitted.
  • Any damage to vehicles will be charged, plus a 20% administration fee.

8. School Travel

  • Departures: Late arrivals risk missing transport and may still be charged.
  • Arrivals: The booker must ensure the school is open and ready to receive the student.
  • Suggested timings: These are for guidance only. I-GTM accepts no liability for missed flights or connections.

9. Complaints

Complaints should be sent to support@i-gtm.com within 14 days. Acknowledgement within 3 working days; response within 10 working days.

10. Governing Law

These Terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
