1. Booking and Administration

Booking Methods

  • All scheduled coach and non-scheduled taxi transport must be booked via the relevant school’s dedicated I-GTM portal.

  • You can log in to I-GTM using your parent portal credentials or authenticate via Google/Microsoft. Help is available at help.i-gtm.com.

Payment Policy

  • The cost of all approved coach and taxi bookings will be added to your school bill.

  • No cash is payable to the driver or chaperone on the day of travel.

Cancellation

  • Taxis are booked automatically by the I-GTM application. Therefore cancellations MUST be made on the platform or the taxi will turn up.
  • To cancel, log in to your account on I-GTM and locate the booking on the home page (click the I-GTM logo to return to the home page at any time). Click the 3 lines at the right hand end of the booking to invoke the quick menu. Click Cancel.

2. Luggage Policy

Quoted travel prices include the carriage of standard luggage, per passenger:

  • One small hand luggage item (handbag, laptop).

  • ONE carry-on suitcase (maximum 23Kg, 56 x 45 x 25cm).

  • ONE hold suitcase (maximum 32Kg, 90 x 75 x 43cm).

Additional suitcases may be charged extra.

3. Financial Notes and Variable Fees

Additional Variable Fees

The prices quoted by our suppliers are inclusive of the I-GTM booking premium, but they do not include the following variable costs, which will be added to your school bill where applicable:

Special Services £45 per hour for assistance beyond standard duty.
Time-Based Charges Extra waiting time.
Road & Airport Charges Parking charges, Congestion Charge / ULEZ (Ultra Low Emissions Zone), and airport-levied drop-off fees (e.g., the £6 fee per terminal at Heathrow).
Service Scope Changes Additional pick-up and drop-offs.
Vehicle Changes Vehicle upgrade (if requested) or car valeting (if needed).
Non-Standard Staffing Airport Guardians chaperones on non-main travel days.
Incidentals Lost property retrieval or delivery.

4. Cancellation Policy

Amendments and Cancellations

  • Fees may apply when amending a booking at the discretion of the supplier.

  • Cancellations made less than 72 hours before travel may be charged a £20 administration fee.

  • For cancellations with less than 24 hours notice or no-shows, the full fare will be charged in accordance with the supplier’s Terms and Conditions.
